Issue 56: Meetings don’t have to be a waste of time - here’s how to fix them.

Good communication is the bridge between confusion and clarity.

You check the time and this meeting was supposed to end 10 minutes ago.

Half the group is still debating a problem that wasn’t even on the agenda. A few people are multitasking, cameras off, barely listening. Someone just asked a question that was answered word-for-word 20 minutes ago. And the one actual decision that should have been made? Postponed to “revisit next time.”

Sound familiar?

By the time you leave, you’re frustrated, exhausted, and wondering why this meeting even happened in the first place.

The worst part? Most meetings don’t have to be this way.

Even if you’re not leading the meeting, your approach can help get even the most disorganized discussions back on track.

Why most meetings waste time

  • They run over time – Discussions drag on without clear conclusions, and before you know it, you’re late for your next commitment.

  • They lack a clear purpose – Too many meetings exist out of habit—not necessity.

Every meeting should be structured to:

  • Build connection and alignment. Set the tone and get everyone engaged.

  • Focus on priorities and problem-solving. Clarify what matters most this week.

  • Assign ownership and accountability. Who is responsible for what?

  • Wrap up with clear takeaways and action steps so everyone knows what happens next.

When meetings follow a similar structure, they stay on track, end on time, and actually do what they're supposed to.
