Issue 56: Meetings don’t have to be a waste of time - here’s how to fix them.

Good communication is the bridge between confusion and clarity.

-Nat Turner, abolitionist and leader of the 1831 rebellion

You check the time and this meeting was supposed to end 10 minutes ago.

Half the group is still debating a problem that wasn’t even on the agenda. A few people are multitasking, cameras off, barely listening. Someone just asked a question that was answered word-for-word 20 minutes ago. And the one actual decision that should have been made? Postponed to “revisit next time.”

Sound familiar?

By the time you leave, you’re frustrated, exhausted, and wondering why this meeting even happened in the first place.

The worst part? Most meetings don’t have to be this way.

Even if you’re not leading the meeting, your approach can help get even the most disorganized discussions back on track.

Why most meetings waste time

  • They run over time – Discussions drag on without clear conclusions, and before you know it, you’re late for your next commitment.

  • They lack a clear purpose – Too many meetings exist out of habit—not necessity.

  • The loudest voices dominate – Meanwhile, others stay silent, leading to missed perspectives.

  • There’s no follow-up – Decisions get made, but nothing actually gets done.

Sound familiar?

These issues don’t just waste time - they drain energy, cause confusion, and leave people dreading the next meeting before this one even ends.

The fix: a simple, repeatable meeting protocol

That’s why I’m sharing my 30-minute team check-in protocol - a tool I typically reserve for my executive coaching clients.

This structured approach helps you run meetings that actually move things forward in just 30 minutes.

Even if you’re not leading the meeting, following this framework can help you ask the right questions, keep the conversation focused, and ensure decisions turn into action.

Every meeting should be structured to:

  • Build connection and alignment. Set the tone and get everyone engaged.

  • Focus on priorities and problem-solving. Clarify what matters most this week.

  • Assign ownership and accountability. Who is responsible for what?

  • Wrap up with clear takeaways and action steps so everyone knows what happens next.

When meetings follow a similar structure, they stay on track, end on time, and actually do what they're supposed to.

Download the 30-minute team check-in protocol (before it’s gone!)

In it, I give you a sample meeting script, exact timing, as well as all strategic add ons that make the meeting protocol on all-season leadership tool.

I’m making this resource available for a limited time to my community of leaders.

If you’ve ever left a meeting frustrated by wasted time and unclear next steps, this tool will change how you approach meetings - whether you’re running them or not.

Download your copy here before it’s gone.

Your only assignment this week is to download and use the meeting protocol.

Let me know what you see after using it for the first time.

Hit reply and let me know how you customized it to make it work for you.

Go out there and lead,

Asia

P.S. Next week, we’ll talk about the strategic add-ons that make this meeting protocol a tool you’ll use all day, every day - whether for your weekly meeting or to realign after a major change or disruption.
